Use Rules to Enforce Extra-Duty and Overtime Policy

While administrators have the option to manually approve personnel to jobs within PowerDetails, they also have the option to set restrictions and limitations within the system to monitor the application process. 

Rules are just one of the tools available to promote fairness, and lessen the workload for administrators. With the right Rules in place, many agencies can utilize the “Automatic Approval” feature in PowerDetails, knowing their policies will be enforced.

Rules can be set using the following parameters:

  • The position a user is applying for (Primary, Backup, or Both)

  • Classes (Rank)

  • Assignments (Agency Divisions)

  • Job Types (Security, Traffic Control, etc.)

  • Employer Types (Restaurant, Night Club, Bank, Church, etc.)

  • Groups (Administrators can create groups of users such as “Canine Unit” or “Hospital Group”)

  • Time Frame (This can be a current or upcoming time frame, or based on bill cycles)

  • Limits on the number of applications, jobs actually worked or upcoming jobs during specified time frames (minutes, hours, days, weeks, months, bill cycles)

Below are some examples of common Rules

You may not apply for more than X number of jobs in X amount of time.

Setting a limit for job applications can prevent a single user from applying for too many available jobs within a specified time frame. Users also tend to become more selective about which jobs they are applying for, thus lowering the chances of excessive cancellations. Agencies also use this during bidding rounds, in relation to upcoming months only, and/or per Job Type. For example, this type of rule could read as “You may only apply for a maximum of 2 jobs in an hour. Please wait to apply for more”.

X Personnel Class (Rank) or Group may not apply for X Job Type(s).

This type of rule ensures that users are not applying to jobs they are not qualified to work or need special training for. Some examples include “Deputies may not work Investigation details” or “Members of the Canine Unit may not work construction jobs”. This could also be used to prevent higher-ranking officials from applying as backups or for certain job types. An example could be “Sergeants and higher can sign up for no more than two (2) supervisor rate details per month.”

X Personnel Class (Rank) or Group can work a maximum of X hours of off-duty details or a specific Job Type.

If your agency has a limit on the number of hours users or a specific type of user can work in off-duty details, PowerDetails can bar them exceeding this. By basing this count either on hours applied for or the actual amount of hours worked, this type of rule can monitor and enforce your agency’s policy. An example could be, “Lieutenants can work a maximum of 18 hours of off-duty details in a 2 week period”.

PowerDetails also anticipates that your agency may be flexible on these rules when it comes to jobs considered “last minute”. In these cases, you may choose whether or not to always enforce the Rules created.
