The Importance of Reporting in Off-Duty/Overtime Management

Accountability in policing is critical and communities in every jurisdiction expect transparency from their public safety agencies.

The PowerDetails platform provides agencies with a multitude of reports to create a snapshot of their extra duty program, hereby creating transparency. Detailed reporting allows agencies to easily identify misconduct and address those issues before they create additional liability for the agency and jurisdiction.

At PowerDetails, we know agencies are often working with limited staff and frequently look for creative ways to maximize their resources and create greater efficiencies. And we want to support that end goal. There are over 50 reporting options ready for customer use, as well as the ability to collaborate and customize additional reports to meet agency specific practices.

There are several PowerDetails reports that our customers utilize frequently to efficiently manage their extra duty program. Here are a few report examples and how some PowerDetails customers are using them:

1.Personnel Hours & Financial Summary

The Personnel Hours and Financial Summary report provides a summary of hours, jobs, personnel, and billing totals by user within a selected date range. This report creates a snapshot of an agency’s extra duty program for a particular timeframe and allows agencies, along with agency personnel, to create reports summarizing their extra duty employment.

Agency personnel can use this report to create a summary of their previous year’s extra duty work including all hours worked and total pay received. It also allows supervisors to run reports for their personnel providing awareness of the extra duty hours their unit personnel worked outside of their normal duty hours. This creates a simple way for supervisors to maintain accountability and address performance issues early on.

2. Calendar List

The Calendar List report is a printable list of jobs from the calendar and includes pertinent job specific information to include:

·   job date, time and scheduled hours

·   employer and location

·   personnel assigned and their start and end times

·   job description

·   job status

This report is widely utilized by PowerDetails agencies to create a daily snapshot of extra duty jobs as well as a daily roster of personnel and their assigned jobs. This provides an easy way to increase transparency and to share extra duty work information with leaders and supervisors throughout the agency.

3. Payment Received & Refunds

The Payments Received and Refunds report is a list of payments received and includes:

·   payment date

·   customer number

·   payment from (employer)

·   payment method

·   estimate or invoice total

·   payment amount

This billing report, for PowerDetails Pay customers, allows agencies to easily see all payments received.

Agency and jurisdiction administrative staff can utilize this report to quickly and easily track incoming payments from various vendors or employers.

PowerDetails leverages the power of technology to provide agency administrators and staff the ability to easily pull timely information for extra duty details and the personnel working those details. With the power of information, an agency can maintain transparency and accountability both within their agency as well as to their communities.

This information is accessible from anywhere with the PowerDetails cloud-based platform and with Microsoft Azure, so agencies can be confident that their data is secure.
