PowerDetails: How does it work?
It's the very first question that we get asked when we attend a conference.
"So, what do you guys do?"
The answer is always the same, but we understand that not all agencies are accustomed to using software to manage their day-to-day operations. As a firm believer in the importance of efficiency, PowerDetails not only makes it easier to schedule and manage off-duty and overtime details, but also ensures that your data is stored safely and accurately for future reports.
At its core, PowerDetails is a powerful tool that can streamline communications between your agency, your officers, and the businesses that employ them. While our platform is most commonly associated with off-duty jobs, it's important to note that PowerDetails can also be used to coordinate departmental overtime.
What's the difference?
For Off-Duty Jobs
Your agency receives a job request:
Employers can request officers for their own private security needs directly through your agency. They may also be given their own PowerDetails login to submit job requests to your agency more efficiently.
The job is posted in PowerDetails and is advertised to all eligible officers and personnel:
Once the agency approves a job request, the PowerDetails app notifies all officers (who meet the necessary requirements) that they are welcome to apply for the job.
Officers apply to work the job and are subject to your agency's rules and policies:
When setting up your PowerDetails site, any rules pertaining to your off-duty policy can be integrated directly into the system and automatically enforced. If an officer is too close to their weekly limit (or otherwise deemed ineligible), they will not be able to sign up.
The job is worked, and details are logged in the system:
PowerDetails gives officers the freedom to record their hours on-site as soon as a job is complete. Any notes about the job can be made directly in the mobile-friendly PowerDetails app for improved accuracy and reporting.
An invoice is sent, and payment is collected:
Upon completion of the job, PowerDetails will automatically generate an invoice for your employers with the appropriate rates and fees. If payment was collected prior to the job's start, then a corrected invoice will be sent to reflect any changes to the details that were originally agreed upon (ex. Officers stayed to work an extra 60 minutes beyond what was originally quoted for the job).
Payment reconciliation is a feature that is unique to PowerDetails. It has proven to be an invaluable tool for agencies that are required by law to collect payment prior to the start of an off-duty job.
For Overtime
Your agency needs personnel to work an overtime shift:
The classification of overtime details can vary from agency to agency. Some agencies treat off-duty jobs as overtime, while others attribute overtime to internal work (training exercises, covering for officers who called out sick, etc.)
The PowerDetails App notifies eligible officers that an overtime shift is available:
Once an overtime shift becomes available, eligible personnel will be notified by the app and can review the details of the shift to decide if they would like to apply.
Officers who apply to work overtime must comply with your agency's rules and policies:
When setting up your PowerDetails site, any rules pertaining to your overtime policy can be integrated directly into the system and automatically enforced. If an officer is too close to their weekly limit (or otherwise deemed ineligible), they will not be able to apply.
The overtime shift is worked and details are logged in the system:
PowerDetails gives officers the freedom to record their hours on-site as soon as their shift is complete. Any notes about the overtime shift can be made directly in the mobile-friendly PowerDetails app for improved accuracy and reporting.
Overtime pay is reflected on the officer's next paycheck or an invoice is sent to the employer to collect payment:
Once hours/timesheets have been submitted, your agency will be equipped with everything it needs to compensate your officers quickly. If an invoice needs to be sent to an employer, then PowerDetails will automatically generate one that includes the appropriate rates and fees.
For internal overtime shifts, PowerDetails ensures that officers are compensated for their overtime work on their next paycheck.
We acknowledge that every agency has its own way of doing things and our goal is to improve your process, not change it.
As part of our onboarding process, PowerDetails will import any policies that your agency has regarding off-duty/overtime and will ensure that those rules are automatically enforced in the system.
